Position Summary:

The Talent Acquisition (TA) Operations Specialist plays a vital role in supporting and enhancing the operational effectiveness of the Talent Acquisition team. This position is responsible for managing key processes that support the flow of requisitions, job postings, data reporting, and communication across the TA function. The ideal candidate is a critical thinker with strong attention to detail, capable of managing systems, timelines, and cross-functional workflows with consistency and reliability.

This role will collaborate closely with TA leadership, recruiters, HR Business Partners, and the onboarding and training teams to ensure a seamless experience from requisition intake to new hire transition. In addition to owning specific operational tasks such as referral bonus tracking and offer letter management, the TA Operations Specialist will contribute to continuous improvement efforts and the maintenance of standard processes across the team.

Responsibilities:

  • Job Requisition & Posting Management: Manage the intake and processing of job requisition requests through the ticketing system, ensuring approvals, accuracy, and timely posting within the applicant tracking system (ATS). Post approved requisitions with clear, accurate, and brand-aligned content. Monitor visibility and ensure consistency with any ongoing testing or sourcing strategies.
  • Documentation & Process Improvement: Create and maintain Standard Operating Procedures (SOPs) that guide the TA team. Support rollout of updates and ensure documentation stays current and accessible. Contribute to process improvement initiatives, system updates, and other projects that enhance the efficiency and scalability of TA operations.
  • Candidate Offer & Onboarding Coordination: Review and finalize offer letters to ensure accuracy, policy alignment, and timely delivery to candidates. Track key timelines and coordinate communication follow-ups as needed. Partner with onboarding and training teams to support a smooth transition from offer acceptance to start date. Help align pre-hire processes with post-hire workflows.
  • Communications & Stakeholder Support: Monitor and respond to inquiries in the TA Recruiting Inbox, ensuring clear, timely communication with internal stakeholders, candidates, and external partners.
  • Advertising & Referral Program Administration: Assist with tracking and managing recruitment advertising spend. Monitor usage and help optimize placement strategies in collaboration with TA leadership. Coordinate with the Milan Accounting team to manage referral bonus payouts, verify eligibility, and track status to ensure timely and accurate processing.
  • Reporting & Data Management: Support regular and ad hoc reporting needs using the ATS and Smartsheets. Maintain clean data, track key operational metrics, and contribute to basic trend analysis or summaries as needed.
  • Other Duties: Perform additional tasks, duties, and responsibilities as needed or assigned by leadership to support departmental and organizational objectives

To be considered for this opportunity, candidates must meet the following requirements:

  • Bachelor’s degree required
  • Minimum 2 years of experience in talent acquisition, recruiting, or HR support roles required
  • Strong organizational skills and ability to manage multiple tasks and deadlines with accuracy required
  • Demonstrated ability to think critically, maintain strong attention to detail, and proactively identify and resolve problems required
  • Proficiency with Smartsheets and Google Suite required
  • Proficiency with applicant tracking systems (ATS) preferred
  • Strong communication and interpersonal skills; comfortable working with a wide range of internal partners required
  • Project coordination or operations experience preferred
  • Familiarity with onboarding processes or HR systems preferred
